This document establishes our unified commitment to data privacy, scientific integrity, and compliance across our entire ecosystem. These standards apply universally to BIEDX.com, our Learning Management System (LMS), Course Library, Fellowship Programs, Clinical Reference archives, and our interactive educational AI tools (BIEDX Clara and BIEDX Lexa).

ACCME Clinical & Educational Disclaimer

This entire platform, including all courses, learning materials, and outputs generated by BIEDX AI tools (BIEDX Clara and BIEDX Lexa), is provided for medical-education purposes only. It does not constitute medical advice, diagnosis, or treatment of any individual patient. Clinical decision-making remains the sole responsibility of treating clinicians.

In accordance with the Accreditation Council for Continuing Medical Education (ACCME) Standards for Integrity and Independence, all educational components, LMS modules, and AI-guided pathways are developed, monitored, and validated independently of commercial interests or ineligible companies.

The opinions expressed across this platform are those of the presenting Faculty or generated as educational guidance and do not necessarily reflect the views of any institution with which the Faculty or BIEDX is affiliated. Imaging cases and clinical scenarios processed or viewed are de-identified educational examples; any resemblance to a specific patient is coincidental. Content and recommendations may not reflect the most current guidelines from the ACR, RSNA, SBI, or other professional societies; viewers and users must consult current published guidelines and, where appropriate, qualified specialists.

1. Information We Collect and Process

We collect data across three distinct categories of interaction to support your educational journey:

Information You Directly Provide

Account & Professional Identity: Full name, email address, professional title, Institution or organization, medical specialty, institutional/clinical credentials, and account preferences.
Billing & Financials: Transaction details required to process subscriptions or course fees, handled securely via PCI-compliant third-party processors (e.g., Stripe, PayPal).
User Contributions: Files you intentionally upload, such as profile photos, CVs/resumes, evaluations, or entirely de-identified educational case materials.

AI Tool Interactions (BIEDX Clara & BIEDX Lexa)

To deliver dynamic, interactive learning under ACCME guidelines for point-of-care and conversational education, we securely process:

Prompts & Queries: The conversational text inputs and case scenarios you submit during active sessions.
System Outputs: The educational responses, synthesis, and guidance generated dynamically by Clara and Lexa.
Model Context Metadata: Logs indicating model versions and time stamps, which are securely archived exclusively for BIEDX clinical audit and content validation teams.
Training Boundaries: BIEDX does not use your proprietary prompts, case scenarios, or chat histories to train public Large Language Models (LLMs).

Automated Technical & Learning Analytics

LMS Engagement Data: Progress tracking, video watch-times, quiz answers, course completions, and certificates issued.
System Diagnostics: IP addresses, browser types, device identifiers, operating system, cookies, and technical logs to maintain platform stability and performance.

2. How We Use Your Data

BIEDX processes your information strictly for the following purposes:

Educational Operations: Provisioning your LMS access, tracking credits, and issuing accredited Continuing Medical Education (CME) or CE certificates.
Dynamic Instruction: Fueling the responsive context of BIEDX Clara and BIEDX Lexa to address complex medical-education queries in real time.
ACCME Quality Control & Peer Review: Conducting internal audits and clinical oversight to ensure that all human-authored courses and AI-generated outputs remain scientifically accurate, balanced, evidence-based, and free of commercial bias.
Administrative Security: Preventing platform abuse, securing user accounts, and processing payments safely.

3. Data Sharing, Vendor Accountability & AI Sub-processors

We enforce strict data minimization. BIEDX never sells or rents your personal data. We share scoped information only with third parties essential to service delivery:

Enterprise AI Infrastructure: Text inputs submitted to BIEDX Clara and BIEDX Lexa are processed through enterprise-tier, secure AI APIs. These partners are contractually bound by Data Processing Agreements (DPAs) which explicitly prohibit them from retaining your data or using your inputs to train consumer-facing models.
ACCME Learner Reporting: When requested, your verified learner data (e.g., completions, credits earned) is securely submitted to professional boards or the ACCME Program and Activity Reporting System (PARS).
Commercial Isolation: In accordance with ACCME regulations, BIEDX never shares user contact info, performance records, or AI interaction logs with ineligible companies (e.g., pharmaceutical manufacturers or medical device companies).
Cross-Border Transfers: As an international platform, your data may be transferred, stored, or processed outside of Singapore. Any such transfers are conducted in strict compliance with the Personal Data Protection Act (PDPA), ensuring the receiving jurisdiction or third party provides a standard of protection legally comparable to Singapore's standards.

4. Cookies, Personalization & Commercial Separation

We utilize tracking technologies (cookies, local storage) to manage your system session:

Essential Tracking: Used solely for authentication, keeping you logged into the LMS, and processing secure payments.
Performance & Functionality Analytics: Used to save your UI preferences (e.g., dark mode) and evaluate general navigation trends across courses to improve course delivery.
Strict Separation from Promotion: To guarantee complete independence from commercial influence, no marketing or advertising cookies are active while you are engaged in accredited educational activities on the LMS or within our AI tools. Learners will never encounter product-specific marketing or targeted advertisements while utilizing BIEDX resources.

5. Security, Retention & Patient Privacy Guardrails

Data Safeguards: We employ industry-standard administrative and technical security, including AES 256-bit encryption for data at rest, HTTPS/TLS for data in transit, firewalls, and strict access controls.
Absolute Patient Privacy (Zero PHI): BIEDX platforms are designed exclusively for medical simulation and education. Users are strictly prohibited from inputting Protected Health Information (PHI) or Personally Identifiable Information (PII) regarding actual living patients into BIEDX Clara, BIEDX Lexa, or the LMS. All case uploads or test queries must be entirely de-identified or synthetic.
Data Retention Lifecycles:
- Learning Transcripts: Profile records, course history, and credits earned are retained only for as long as necessary to maintain your CME accreditation records and fulfill our legal, regulatory, or business obligations, after which they are securely deleted or anonymized, unless you request earlier deletion.
- AI Conversational Ephemerality: Interactive logs with Clara and Lexa are securely archived internally for clinical quality audits and are accessible to users via their dashboard to clear or delete at will.

6. Your Rights and Controls

Depending on your jurisdiction, including the Singapore Personal Data Protection Act (PDPA), GDPR, CCPA/CPRA, and other applicable privacy laws, you may have rights regarding your personal data.

Access & Export: You may request a breakdown or download of your data, including your CME history.
Correction & Erasure: You can amend structural account profile errors or request the complete deletion of your account (subject to regulatory or financial auditing records that BIEDX is legally mandated to preserve).
Withdrawal of Consent: You may withdraw your consent for the ongoing collection, use, or disclosure of your personal data at any time, acknowledging that this may restrict your ability to access the LMS or our AI tools.
AI History Autonomy: You can clear your individual session logs with BIEDX Clara and BIEDX Lexa at any time through your account preferences panel.

7. Protected Audiences & Policy Evolution

Children's Privacy: BIEDX content is explicitly developed for healthcare professionals, clinical trainees, and researchers. We do not knowingly compile data from individuals under 18 years of age.
Policy Adaptations: As medical education standards, AI technical landscapes, and ACCME guidelines continue to mature, we will adapt this policy. Any changes will be published here with an updated "Effective Date" at the top.
